Client Operations and Sales Specialist

Responsibilities

• 1. Invoicing. Prepare and issue invoices using the correct client details, agreed services and prices. Keep invoice and payment statuses up to date and follow up on unpaid invoices.
• 2. Client communication.
• Communicate with clients by email and other agreed channels. Answer questions, clarify requirements, explain available services and keep clients informed about their orders.
• 3. Order management and fulfilment. Receive and record orders, confirm the selected websites, publication requirements, links, prices and deadlines. Use AI tools to support fulfilment, coordinate publication and check that the delivered work matches the client’s brief.
• 4. Sales and follow up. Proactively reconnect with clients, suggest relevant additional placements and encourage repeat orders. Share updates on new websites added to the price list, publication opportunities, pricing and the discount system. Apply agreed pricing and discount rules when preparing offers.
• 5. Article preparation with AI. Use ChatGPT, Claude or similar tools to prepare articles according to the client’s requirements, including the requested language, topic, tone, links and anchor text. Edit and check AI output for accuracy, readability and compliance with the brief before publication.
• 6. Marketplace listings and pricing. Add every website in our network to all link building marketplace platforms we use, including WhitePress, Bazoom and Linkhouse.
